Autonomy Workspace may be a two-person business, but it operates on a very different scale.

Founded by Mike Holness in 2011, and joined by his business partner Rand in 2014, the company delivers complex workplace, furniture procurement, design and build projects for clients in the UK and overseas. From large office environments to bespoke interiors and international installations, the work is varied, detailed and fast-moving.

As Mike explained, the old approach left them “working blind”.

High VAT bills could appear with very little warning. Dividends had been recommended as the most tax-efficient route, but without enough visibility over profit levels, this occasionally created complications around director’s loans. Instead of feeling in control, the business was constantly reacting.

For a company handling large-value projects and complex international work, that uncertainty was more than frustrating. It made planning harder, increased financial pressure and left the directors without the confidence that they were making decisions from a solid foundation.

What changed:

Everything changed when Mike came across a message from Paul Meades that struck a chord.

The issue was not simply compliance. It was the lack of live, meaningful financial information and the inability to see what was coming.

Because of the way Autonomy Workspace operates, including buying in the UK and Europe for overseas projects where no VAT is charged to the end client, the business can legitimately generate large VAT reclaims. Those claims can trigger HMRC scrutiny simply because of their size.

This was not the first time Mike had been through the process, so he knew what to expect. But this time, the experience was very different.

Previously, he had to be heavily involved. This time, Meades handled the inspection directly. The meeting took place at the Meades office, the records were already well organised through the software systems in place, and Mike only needed to be available by phone in case a question arose.

That meant he could carry on running the business while Meades dealt with the detail.
